Every incoming call needs a person. Miss it and the enquiry goes to whoever picks up next. Answer it and someone's pulled off the floor to take a message, or loses twenty minutes to a vendor pitch.
Jarvis
AI voice receptionist. Answers, takes a message, books the call.

The problem
The system
Jarvis answers our phone line and the click-to-talk button on this site. He greets the caller, finds out who they are and what they need, takes one contact detail, and books a real 20-minute call into the calendar. After the call, he sends Gerard a written summary. He's the same assistant that handles our own enquiries.
The flow
- 1Caller rings our phone line or clicks the widget
- 2Jarvis greets and asks why they're calling
- 3Captures name and one contact detail
- 4Books a 20-minute call or takes a message
- 5Transcript and summary sent to Gerard by email and SMS
How it works
One assistant, two doors
The same Jarvis answers the click-to-talk button on this site and the phone line. Callers get the same greeting, the same questions and the same booking flow either way.
He doesn't ask twice
Jarvis captures your name, the reason for the call and one contact detail, mobile or email. Each answer is confirmed once, then locked, so he doesn't loop back and re-ask the way a lot of phone bots do.
Books real appointments
Give him an email and a time and he books a 20-minute discovery call straight into the calendar. The booking is made in our calendar, so the slot is real, not a note for someone to action later.
Knows when to hand over
Ask for a person on a phone call during business hours, 8am to 6pm Melbourne time, Monday to Friday, and he puts you through to Gerard. If he can't reach Gerard, he takes a message and arranges a callback. After hours he takes a message. Sales pitches get a polite no.
Writes up every call
After each call, a transcript and a short summary with action points land in Gerard's email and SMS, and optionally Slack. Nothing gets lost in a voicemail box.
Under the hood
- One voice agent answers both the website click-to-talk button and our phone line.
- Each detail is locked once it's captured, so Jarvis can't loop back and re-ask for a name, reason or number.
- Bookings are real 20-minute discovery calls created in our calendar when the caller gives an email and a time.
- Inbound phone callers who ask for a person are transferred to Gerard between 8am and 6pm Melbourne time, Monday to Friday. If the transfer doesn't connect, Jarvis takes a message and flags it for a callback.
- After every call, a separate AI pass writes the summary and action points, delivered to Gerard by email and SMS, with Slack as an option. A 15-minute check catches anything missed.
- Jarvis works from a plain-text knowledge base: company facts, FAQs, what he can and can't say about pricing, and a do-not-say list. He handles spam, vendor calls, after-hours and abusive callers. The web widget is rate limited, and every message from the phone platform is verified before it's trusted.
What it changes
- What it does for us, and would do for you: nobody pulled off the floor to take a message.
- Discovery calls booked without the back-and-forth.
- Vendor pitches and spam kept off the team's phone.
- A written record of every call, without anyone typing.
