AI Inbox

Email in. Sorted, actioned, drafted, escalated.

Build blueprintSee the workflow

The operations inbox is where the day goes. Bookings, supplier queries, staff requests, complaints and invoices all land in one place, and someone reads every one to work out what matters. Urgent things sit under supplier newsletters.

The AI Inbox reads each email as it lands, sorts it into your categories, pulls out the actions and due dates, drafts a reply in your tone, and flags anything urgent to the right person. Your team approves and sends. This is a system we can build for you. The workflow below is what you'd be scoping, not a case study.

  1. 1Email lands in the shared inbox
  2. 2AI sorts it into your categories
  3. 3Actions and dates pulled out
  4. 4Reply drafted in your voice
  5. 5Urgent items escalated
  6. 6Team approves and sends
  1. Sorts by what it is

Bookings, invoices, complaints, rostering, supplier queries, spam. Urgency is set by what's in the message and who it's from, so a cancellation for tonight sits above a marketing email from last week.

  2. Pulls out the to-dos

What needs doing and by when: confirm the function for Saturday, send the certificate by Friday, call the supplier back. Those go into a task list, ideally the one your team already uses if it can be connected.

  3. Drafts the reply

Standard replies are written in your tone and waiting for a tick. A person reads it, tweaks if needed and hits send. The human stays on the send button.

  4. Escalates what can't wait

A complaint, a cancelled shift, an overdue invoice: flagged straight to the right person by SMS or chat, not left in the queue.

  • How we'd build it: connected to your existing mailbox. Nothing moves to a new platform.
  • Categories and escalation rules set by you, in plain language, and adjusted from real examples in the first weeks.
  • Drafts follow your past replies so they sound like your team.
  • Every AI action is logged: what it read, what it decided, what it drafted.
  • A person approves every reply by default. The system only ever sends on its own for categories you've explicitly switched to auto-send.
  • What it's designed to deliver: urgent emails flagged in minutes, not at day's end.
  • Routine replies become one read and a click.
  • Fewer things dropped.
  • Less of the morning spent reading the inbox.
